1. Participant-Initiated Cancellations

  1. Notice Requirement:
    • All cancellation requests must be submitted in writing to info@exhobuzz.com or through official communication channels.
  2. Refund Eligibility:
    • 30 Days or More Before the Event:
      • Participants are eligible for a refund after deducting administrative charges (15% of the total amount).
    • Within 30 Days of the Event:
      • No refunds will be provided for cancellations made less than 30 days before the event.
  3. Non-Refundable Deposits:
    • Any advance or booking deposit made to secure participation is non-refundable under all circumstances.
  4. No-Show Policy:
    • Participants who fail to attend the event without prior notice will not be eligible for any refund.

2. Organizer-Initiated Cancellations

  1. Event Cancellation:
    • In the unlikely event of a cancellation initiated by Exhobuzz Pvt Ltd, participants will be offered the following options:
      • A full refund of the participation fee.
      • Transfer of participation to a future event of equal value.
  2. Event Rescheduling:
    • If an event is rescheduled due to unavoidable circumstances, participants can choose to:
      • Retain their booking for the new date.
      • Request a refund after deducting administrative charges (15% of the total amount).

3. Force Majeure

  1. Definition:
    • Exhobuzz Pvt Ltd is not liable for event cancellations or rescheduling caused by circumstances beyond its control, including but not limited to:
      • Natural disasters (e.g., floods, earthquakes).
      • Government restrictions or regulations.
      • Pandemics or public health emergencies.
      • Acts of terrorism or civil unrest.
  2. Refund Policy in Force Majeure Cases:
    • Refunds will not be provided for force majeure cancellations. However, participants may be offered a credit for future events.

4. Refund Process

  1. Request Submission:
    • Refund requests must include participant details, payment proof, and cancellation reason.
    • Send refund requests to info@exhobuzz.com.
  2. Processing Time:
    • Refunds, if approved, will be processed within 14 business days of receiving a complete request.
    • Refunds will be made via the original payment method.
  3. Deductions:
    • Administrative charges or service fees, if applicable, will be deducted from the refund amount.

5. Special Conditions

  1. Customized Services:
    • No refunds will be provided for custom services, booth designs, or promotional add-ons purchased for events.
  2. Third-Party Services:
    • Exhobuzz Pvt Ltd is not responsible for refunds related to services booked directly through third-party vendors, including accommodation and transportation.
